At Heritage Motors Company, we strive to provide excellent service and ensure customer satisfaction. This Refund and Returns Policy outlines our procedures for cancellations, refunds, and early returns. By making a reservation with us, you agree to the terms of this policy.

Reservations and Cancellations

Reservation Confirmation

  • Upon making a reservation, you will receive a confirmation email with your booking details.
  • A reservation is not guaranteed until you receive this confirmation.

Cancellation Policy

  • Free Cancellation: Cancellations made at least 48 hours before the scheduled pickup time will receive a full refund.
  • Late Cancellation Fee: Cancellations made between 48 and 24 hours before the scheduled pickup time will incur a fee of 50% of the total rental cost.
  • No-Show Fee: Cancellations made less than 24 hours before the pickup time or failure to pick up the vehicle will result in a charge of 100% of the total rental cost.

Modification of Reservations

  • Modifications to reservations can be made free of charge up to 48 hours before the scheduled pickup time, subject to vehicle availability.
  • Changes made within 48 hours of the pickup time may incur additional charges.

Refunds

Eligible Refunds

  • Full refunds will be issued for cancellations made at least 48 hours before the scheduled pickup time.
  • Partial refunds may be issued in cases of vehicle malfunction or other circumstances within our control that significantly impact your rental experience.

Refund Process

  • Refunds will be processed to the original payment method used for the reservation.
  • Processing time for refunds is typically 5-10 business days, depending on your financial institution.

Non Refundable Charges

  • Fees for additional services already provided (e.g., GPS rental, child seat rental) are non-refundable.
  • Charges for traffic violations, parking tickets, or toll fees incurred during your rental period are non-refundable.

Early Returns

Policy on Early Returns

  • If you return the vehicle earlier than the agreed-upon return date and time, we do not provide refunds for unused rental days.
  • We recommend accurately estimating your rental period at the time of reservation.

Extensions

  • If you need to extend your rental period, please contact us as soon as possible. Extensions are subject to vehicle availability and may result in additional charges.

Vehicle Condition and Returns

Pre Rental Inspection

  • You will have the opportunity to inspect the vehicle before your rental period begins. Any existing damage should be noted and reported to our staff immediately.

Return Condition

  • The vehicle must be returned in the same condition as it was received, allowing for normal wear and tear.
  • Additional charges may apply for excessive dirt, pet hair, smoke odor, or damage beyond normal wear and tear.

Fuel Policy

  • Vehicles must be returned with the same fuel level as at the start of the rental period.
  • If the vehicle is returned with less fuel, you will be charged for refueling at our current rates.

Insurance and Damage Waiver

Insurance Options

  • We offer various insurance and damage waiver options. These are clearly explained at the time of reservation and pickup.
  • If you decline our insurance options, you will be responsible for all damage to the vehicle, subject to the terms of your reservation agreement.

Damage Assessment

  • Any damage to the vehicle will be assessed upon return.
  • You will be notified of any charges for damage within 24 hours of returning the vehicle.

Special Circumstances

Force Majeure

  • In cases of events beyond our control (e.g., natural disasters, government actions), we reserve the right to modify our refund policy.

Disputes

  • Any disputes regarding refunds or charges should be submitted in writing to office@heritagemotorscompany.com within 7 days of the end of your rental period.
